## Who a HubSpot audit is for

An audit suits teams whose HubSpot account has grown faster than anyone planned it. Typical signs are reports that disagree, duplicate contacts that reps work twice, workflows nobody remembers building, slow handoffs between teams and forms that feed fields nobody reads.

It also suits teams about to scale. A new sales team, a new marketing strategy or a new product line will all run through the HubSpot portal you already have. Inspecting the foundation first costs far less than rebuilding it later, and it keeps your data clean before it feeds new reports.

Trust is the deeper issue. ## A comprehensive audit covers nine areas of your HubSpot portal

A HubSpot portal audit is not a tour of settings. It follows the path a record takes, from the first form fill to the closed deal and the renewal, and checks each place where that path can break. These are the nine areas.

### Users, teams and permissions

The audit starts with who can do what. Super admins can access all account tools and settings, and only an existing super admin can make another user a super admin, according to [HubSpot's user permissions guide](https://knowledge.hubspot.com/user-management/hubspot-user-permissions-guide). Too many super admins, former staff who still have access and broad edit rights are all risks.

Permissions can also limit users to all records, their team's records or their own, so the audit checks that access and record ownership match how your business is organized. Every one of your HubSpot users should have a role and a reason for their access.

### The account activity trail

HubSpot's audit log lets super admins review, filter and export a record of user actions in the account. It records actions taken by users, not changes made by a form submission or an integration, according to [HubSpot's account activity history page](https://knowledge.hubspot.com/account-management/view-and-export-account-activity-history).

An audit uses that trail to see who exports data, who changes permissions and when logins look unusual. It is the security view of the account, and it supports the governance habits a growing company needs.

### Properties and data structure

Properties hold everything you know about a contact, company or deal. Across a long-running database they multiply: two fields for the same fact, groups nobody uses, names that mean different things to different teams. A clear naming convention stops the same field from being created twice.

The audit flags properties that are unused, duplicated or filled with inconsistent values. HubSpot's [data quality tools](https://knowledge.hubspot.com/data-management/use-data-quality-tools) include property insights that show where and how properties are used in your CRM. Poor data hygiene shows up as incomplete records and inconsistent formatting.

### Duplicate contacts and company records

Duplicate contacts split a customer's history across two records. One rep sees the call, another sees the form fill, and nobody sees the whole account. Duplicate records also lead to inaccurate reporting.

HubSpot compares record properties daily to surface potential duplicates, and by default it checks fields such as name, email address and phone number for contacts, according to [HubSpot's duplicate management guide](https://knowledge.hubspot.com/records/manage-duplicate-records). The audit reviews what feeds them. Merged records cannot be reverted, so the cleanup is planned carefully.

### Lifecycle stages, lead status and deal stages

These fields drive every funnel report. HubSpot says [lifecycle stages categorize your contacts and companies by where they are in your marketing and sales processes](https://knowledge.hubspot.com/records/use-lifecycle-stages), and that default automatic updates only move a stage forward.

The audit checks that each stage has a definition both teams agree on, that lead status is used consistently and that deal stages mirror how your reps sell. HubSpot requires Won and Lost stages in a deal pipeline for reports to work, and its [pipeline guide](https://knowledge.hubspot.com/object-settings/set-up-and-customize-pipelines) recommends separate pipelines only when processes have unique stages.

### Workflows and automation

Automation is where small mistakes wreak havoc. A workflow that enrolls the wrong records can email customers, reassign owners or overwrite data at scale before anyone notices. A broken workflow does the opposite: it quietly misses automation you believe is running.

The audit checks what triggers each workflow, which properties it changes, whether two workflows compete and who owns it. HubSpot notes that you can review a workflow's history to monitor the records enrolled. Overlapping workflows make system performance hard to predict, so finding errors and conflicts leaves you a shorter, safer set.

### Forms, landing pages and tracking

Forms and landing pages are how data enters the account. The audit checks that each live form writes to the right properties, that old forms and landing pages are retired, and that submissions reach the right owner. That also exposes weak spots in your lead capture and conversion paths.

### Integrations and email sending

Every connected app is a way for data to arrive, change or leave. HubSpot lists installed apps under Integrations and Connected Apps in settings, and the audit reviews who connected each one, what it syncs and whether anyone still uses it. Integration problems can create data silos.

Email sending is part of the same review. HubSpot's [email sending domain guide](https://knowledge.hubspot.com/domains-and-urls/connect-your-email-sending-domain) explains that DKIM, SPF and DMARC records let you send marketing email from your own domain in line with inbox provider standards. A partly authenticated domain can hurt deliverability and sender reputation.

### Reporting and dashboards

The last area is what leaders see. The audit checks which dashboards and reports are used, which have no owner and whether the numbers match the definitions set in the earlier steps. It also reviews campaign tracking and attribution models, since those decide which work gets credit.

A report built on a broken field is worse than no report, because people act on it. Low adoption is often the sign: people stop opening dashboards they do not trust.

## A HubSpot audit checklist you can start with this week

You can run a first pass yourself. This checklist works through the account in the order that exposes the most risk. For example, if the first two items turn up surprises, expect more underneath.

- **Export your users.** Export the list of HubSpot users, check the date of each last login and remove access for anyone who has left.
- **Open the data quality page.** Use the Manage Duplicates, Formatting issues and Property Insights tabs to see what needs attention.
- **Delete or archive what nobody uses.** Stale forms, empty properties, unused lists and old landing pages add clutter and confuse new staff.
- **Manage every workflow.** Note each one's owner, trigger and last enrollment, then turn off any that no longer serve a goal.
- **Create one naming document.** Record the rules for naming properties, workflows, lists and templates, so the next person can read the account.

The checklist builds a picture of what exists. It does not replace judgment about which findings matter most to your revenue.

## HubSpot health checks and a full audit are not the same job

Many teams use the two terms loosely. The difference is depth and purpose.

A health check is a quick pass over the main settings. It answers a narrow question: is anything obviously broken? Regular health checks work like a service for a car: frequent, short and aimed at catching trouble early.

A full audit goes further. It tests each area against your business goals, traces problems to their cause and ranks the fixes by impact on revenue. It leaves you a roadmap for optimization.

## How to conduct a HubSpot audit, step by step

Whether you conduct a HubSpot audit in house or with a partner, a good one follows a clear order.

1. **Agree the goal.** Name the business goals the portal must support, such as faster follow-up or cleaner forecasts.
2. **Grant access.** Your super admins give the auditor view access to the account, its settings and its reports.
3. **Review the account.** The auditor works through the nine areas, recording what exists, what is used and what is broken.
4. **Test against real use.** Findings are checked through short conversations with sales, marketing and service users.

The output should be something you can act on, not a long list of observations. Expect a written set of findings, usually laid out as a table of area, issue, risk, fix and owner, with a link from each finding to the records that prove it.

Quick wins come first: unused fields to archive, stale forms to retire, permissions to tighten. Structural changes, such as redefining stages or rebuilding a workflow, come after.

## How to prepare for the audit

A little preparation saves a lot of time. Gather these before the audit begins.

- **Known problems.** A short list from each team of what annoys them most in HubSpot.

## When a HubSpot audit is not the right fit

An audit works best when the account is in use and the team is willing to look at it honestly. It is probably not the right fit in these cases.

- **The account is brand new.** There is little to inspect yet. Plan the setup carefully instead.
- **No one can grant access.** The audit depends on seeing the account's real settings and data.
- **You want a campaign.** An audit diagnoses systems. It does not generate creative ideas.
- **Nobody will act on the findings.** An audit without an owner for the fixes becomes a report that sits in a folder.

In those cases, fix the blocker first, then return to the audit.
